Case Data Setup Fields
The following fields are found on the Case Data Setup page.
NOTE: Some fields have visible character max limits. The first number is the current count of how many characters have been used. The second number is the max characters allowed in the field.
- Group Code: This is a 10-character identifier created by the administrator to differentiate the group from others in lists, selections, and drop-down boxes. This field cannot be modified after creation.
- Description: This is a brief explanation of the data group. It is often a fully written-out version of the group code but may contain other information as well.
- Group Detail: This drop-down list indicates whether the data group will use option buttons, drop-down lists, or neither.
- Sum: Select this check box indicates that the information entered into this data group will automatically be factored into the total sum.
- Anonymous: Select this check box to indicate the item will be available to Public Access guest users.
- Registered: Select this check box to indicate the item will be available to Public Access users after they have logged in to the system.
- Collapse: By default, data groups are displayed in a fully expanded form. Selecting this box will cause the group to display in its collapsed form initially.
- Active: Use this option to switch the group code on or off.
- Detail Code: This is the standard 10-character identifier created by the administrator to differentiate the detail from others in lists, selections, and drop-down lists.
- Description: This field identifies exactly what information the detail is asking for.
- Detail Sequence: This field controls what order the detail appears in the data group. This is important if the data group has more than two or three details.
- Calc Rate: This check box, when selected, indicates there is a calculation rate associated with the case and that it should be applied. If the check field is not selected, it indicates that no calculation rate will be applied, even if there is one associated with the case.
- Rate: This field indicates the rate at which the fee will be applied to the application or permit per unit of measure.
- Quantity: This field indicates the number of units, whatever they may be. This quantity, when multiplied by the rate, is part of the fee calculation.
- Required at Intake: Select this check box to indicate the data detail must be entered before the case can be created.
- Show Yes/No as Check box: This field, if selected, displays check boxes instead of Yes/No option buttons on the Data Group panel.
- GIS Update: Select this check box to indicate this case data detail can only be populated with data from the GIS. When this box is checked, the field will be populated automatically when the users attaches a configured asset to the case.
- Available Item: This drop-down list displays a list of all available case data flags that can be associated with the case data group. These are not to be confused with flags attached to a case template to bring information to the user's attention on the case Summary page. Case data flags identify the kind of information the user must enter for this particular data detail.
- List Values separated by commas: Use this field to designate values for a List Value when a List Value is selected in the Available Item field.
- Multi List Values separated by commas: Use this field to designate values for a Multi Select List Values when a Multi Select List Values is selected in the Available Item field.
- Selected Items: This field displays all flags that are currently assigned to the data group.
- Public Access Help Question: Use this field to provide information users might find useful.
- Image: Use this field to upload relevant images to the case.
- Case Data Detail: Fees Setup: Use this panel to configure fees that are added to a case when a specific case data value is selected.
- Available Item Type: This drop-down list is populated by selections made in the Available Item drop-down list. The possible values are: Yes No, List Values, and Multi Select List Value.
- Available Item Values: This list is populated by the custom entries made in the List Values separated by commas and Multi Select List Values separated by commas fields.
- Fees: Use this drop-down list to select which fee or fees to associate with the Data Detail item.
