Case Templates Fields
The following fields are found on the Case Templates page.
NOTE: Some fields have visible character max limits. The first number is the current count of how many characters have been used. The second number is the max characters allowed in the field.
- Template ID: A number automatically assigned to the case template when it is created.
- Template Code: A 10-character identifier created by the user to differentiate the template from others in lists or drop-down lists. This is a required field.
- Template Description: A short explanation of the template’s intended purpose.
- Type: Select from a predefined list of all existing template types. This is a required field.
- Sub Type: An optional field that further defines the type.
- Assigned To: The user automatically designated to handle cases generated from this template.
- Active: Turn on to make the record available for use. To preserve historical data and maintain system integrity, turn off Active instead of deleting the record.
- Show Skip Intake: Turn on to make the Skip Intake option available in Respond, allowing users to bypass the standard intake process. Turn off to hide this option.
- Select Skip Intake: Turn on to have the Skip Intake option selected by default when creating a case. Turn off to leave it unselected by default.
- Registered: Turn on to make the record available to Public Access users with a verified account. Turn off to restrict access to internal users only.
- Anonymous: Turn on to make the record available to guest users without requiring a login. Turn off to require users to sign in or create an account to view the record.
- Auto Status Expiry: Turn on to automatically update the case status to Expired or BL-Expired when the expiration date is reached. Turn off to require manual status updates. See Status Codes for more information.
- Controls: Use this drop-down list to select the desired case controls.
- Conditions: Use this drop-down list to select the desired case controls.
- Flags: Use this drop-down list to select the desired case flags.
- Fees: Use this drop-down list to select the desired case fees.
- Roles: Use this drop-down list to select the desired case roles.
- Deposits: Use this drop-down list to select the desired case deposits.
- Workflows: Use this drop-down list to select the desired case workflows.
- Case Data: Use this drop-down list to select a case status
- Case Status: Use this drop-down list to view or edit template requirements for any given case status.
- Case Status: Use this drop-down list to select the desired case status that will act as the first element of the automation sequence.
- Next Case Status: Use this drop-down list to select the case status that will act as the second element of the automation sequence.
- All Fees must be paid in full: Select this check box to require all fees to paid for the automation sequence to advance.
- Required Labels: Use this drop-down list to select which document attachments will be listed as required.
- Recommended Labels: Use this drop-down list to select which document attachments will be listed as recommended.
- Escrow Fees: Use this drop-down list to select the desired escrow fees.
- Apply Selection To All: Use this drop-down list to batch-assign the desired value to all line items in the panel.
- None: Use this option button to assign the None value to the applicable line item.
- All: Use this option button to assign the All value to the applicable line item.
- Open: Use this option button to assign the Open value to the applicable line item.
- Child Default: Use this option button to assign the Child Default value to the applicable line item.
- Parent Default: Use this option button to assign the Parent Default value to the applicable line item.
- Public Access Entity Type: This drop-down list allows you to select one or more entity types.
- Require Payment on Intake: This switch allows you to require full payment of fees upon case submission.
- Controls: This drop-down list allows you to select the panels that will appear in Public Access when using the selected case template.
- Reports: This drop-down list allows you to select the reports that will be available in Public Access for the selected case template.
- Child Cases: This drop-down list allows you to select the child cases that will be available in Public Access for the selected case template.
- Comment Notify Users: This drop-down list allows you to select the Assigned To, and/or Issued By, and/or Entered By, and/or Accepted By users that will be automatically notified when comments are added to a case.
- Terms and Conditions: This field allows you to enter custom text that will appear in Public Access for the selected template.
- Require Acceptance: This switch allows you to make acceptance of the Terms and Conditions a required action for case creation.
- Help and Info: This field allows you to enter custom text that will appear in Public Access for the selected template.
- Auto Display: This switch allows you to make the Help and Info text block visible in Public Access without the need for a user to hover over the Help and Info icon.
- Reports: Use this drop-down list to select the desired reports.
- Map Layer: Use this drop-down list to select the desired map layer.
- Map Layer Field: Use this drop-down list to select the desired map layer field.
