Create a Case

Once a case template is configured, you can create a new permit, business license, or code enforcement case from the Case Templates panel.

NOTE: Custom forms can be configured by the administrator and applied to specific areas in the UI, such as based on a specific template, fees, comments, and more. See Custom Form in the Admin Guide for Trimble Unity Maintain and Trimble Unity Permit for more information. When a case is cloned, custom form values are copied to the child case. If the administrator added encrypted custom forms, you will see dots when typing in the field. A view icon allows you to view the encrypted text in the field.

PREREQUISITES:

  • A case template must be created by the administrator. See Add a Case Template in the Admin Guide for Trimble Unity Maintain and Trimble Unity Permit for more information.
  • Case templates must be defined to a category by the administrator for the template to be available. See Template Categories in the Admin Guide for Trimble Unity Maintain and Trimble Unity Permit for more information.
  • The Show Skip Intake check box must be selected on a case template and the Automatically Assign Numbers check box must be selected on the case type in order for a case to be created in Respond. See Case Templates in the Admin Guide for Trimble Unity Maintain and Trimble Unity Permit for more information.

The 'Case' option is highlighted in blue. This image illustrates the first two steps in creating a new permit case within Trimble Unity Respond.

TIP: See Create a Case on Trimble Unity for a quick start guide.

  1. In the Case Templates panel, select the desired category for the case. You can use the filter icon to filter the categories. There may be more than one set of categories.

The panel displays case template categories, which may be hierarchical with parent categories like Building Permits and Code Enforcement containing subcategories, depending on the administrator's configuration. These categories may vary from those shown in this document. The user must select the appropriate category to proceed with creating a new case.

  1. Once the final category is selected, select a case template.
  2. Select the Skip Intake check box if you want to skip the Case Intake page and move directly to the case summary page. Clear the Skip Intake check box to proceed to the Case Intake page.

NOTE: Your administrator has the ability to hide this check box as well as make it selected by default for the end user. See Add a Case Template in the Admin Guide for Trimble Unity Maintain and Trimble Unity Permit for more information.

  1. Select the Case Per Asset check box to create a case for each asset selected on the map. See Add an Address for information on adding assets to the case.

NOTE: A Case Per Parent Address check box has been added when creating a case from a parent case. Select this check box to create a case for each asset selected on the map. See Create a Related Work Activity for more information on creating a work activity from a parent case.

  1. Click Create.

See Case Intake or Case Summary depending on how the template is set up by your administrator. This may also depend on whether you selected or cleared the Skip Intake check box.

IMPORTANT: If you select a case template which requires default case data and the Skip Intake check box is selected, a "Case Data is required on create case" message appears and the case cannot be created. Clear the Skip Intake check box to open the Case Intake page and add the required case data in order to create the case.
